How to Communicate With Your Commercial Property Builder

Communication is an essential aspect of every successful relationship or business operation. Clear and open communication not only helps each party to the relationship establish effective goals and objectives but also helps establish each person’s role, expectations, and responsibilities. By establishing proper communication practices, you can give your team the best chance of successfully completing a commercial property renovation project.

Establish a Point-of-Contact

This is a critical first step for most commercial property projects because your project will likely involve a general contractor, many different subcontractors and suppliers, yourself, a designer, and an architect. Your general contractor is responsible for ensuring that the proper subcontractor and supplies are available at the appropriate times to ensure that the project stays on schedule. Imagine the chaos that would ensue if the property owner interfered with the general contractor’s schedule by communicating directly with each supplier or contractor.

In order for communication lines not to get completely snarled, each person involved must follow a designated communication chain of command. Generally, this means that the property owner should communicate with the general contractor, designer, and, perhaps, the architect. If you notice a discrepancy between the work done and the plan, contact the general contractor or jobsite foreman. Do not intervene or correct the subcontractor.

By utilizing Premier Construction’s Design Build option, you can further streamline the process by further reducing the number of contacts, and Premier Construction will manage the entire project. This not only makes your communication easier but can also better manage your budget.

Agree Upon a Communication Method

In many cases your contractor will provide a way for you to track the progress of the project, see the work completed, and view a schedule for the appropriate subcontractors and suppliers. This will allow the general contractor to keep you informed of the progress while still remaining focused on completing the project on-time and on-budget.

However, you should establish, from the start of the project, the best way to communicate with the general contractor. Will they prefer email, text message, or a phone call? How would you prefer to receive communication from the contractor? In answering these questions, consider how you will communicate information such as product codes, visual information, or even change orders. By anticipating these issues and choosing a communication method that works for both you and the general contractor, you can ensure that communication will be timely and effective.

Ask Questions and Rephrase In Your Own Words

Construction and commercial real estate both have some technical lingo that may be confusing to someone unfamiliar with the parlance. One of the best ways to limit confusion is to be upfront about your knowledge of the subject matter. Don’t be afraid to ask questions or let your contractor know that you didn’t understand something. If you are unfamiliar with any terminology used, try to rephrase any communication presented to you into your own words and ask for clarification so that you can be confident that the project is progressing according to your expectations.
